When spreadsheets stop working: signs your business needs a custom tool
Nischay Kademane · Oct 27, 2026
Almost every business runs on spreadsheets at some point, and for good reason. They are flexible, everyone knows how to use them, and they cost nothing.
But spreadsheets are built for one person working with numbers. As a business grows, they end up holding orders, customers, stock, staff schedules and approvals, and they start to crack.
Warning signs
You have probably outgrown spreadsheets if several of these sound familiar:
- "Which version is the latest?" Copies are emailed around, and nobody is sure which one is right.
- Someone overwrote someone else's work. Two people edited the same sheet and one change was lost.
- One person understands it. The sheet has complex formulas and tabs that only its creator dares to touch. When they are on leave, things stall.
- You copy and paste the same data between sheets (or from WhatsApp into a sheet, then into an invoice).
- Mistakes cost money. A wrong formula, a deleted row or a typo leads to a wrong order, a missed payment or an unhappy customer.
- You cannot control who sees what. Everyone who can open the file sees everything, including salaries or margins.
- There is no history. You cannot tell who changed something, or when.
- Reports take hours. Every month someone spends a day pulling numbers together by hand.
- Customers have to ask you for updates because there is no way for them to check the status themselves.
What a custom tool can do instead
A custom web application takes the way your business already works and makes it a proper system:
- One source of truth. Everyone sees the same live data, from any device.
- The right access for each person. Staff see what they need; managers see more; customers see only their own records.
- Forms instead of free-for-all cells, so data is entered consistently and checked as it is typed.
- Automatic steps. Status changes trigger emails, reminders and the next task.
- A history of every change, so you can see who did what.
- Reports in one click, always up to date.
- A portal for customers, so they can check orders, download invoices or upload documents themselves.
Off-the-shelf or custom?
Before building anything, check whether a ready-made tool already fits. For common needs such as accounting, payroll or simple appointment booking, good products exist and are usually cheaper.
Custom software makes sense when:
- your process is genuinely specific to how you work, and that difference is part of your advantage,
- you are combining several tools with manual work in between,
- off-the-shelf tools force you to change how you work in ways that cost you,
- per-user subscription fees across many tools add up to more than a one-time build.
Often the best answer is a mix: ready-made tools for standard jobs, plus a small custom system that connects them and handles what is unique to you.
How to move without disruption
Replacing spreadsheets does not have to be a big-bang switch.
- Map the current process. Who does what, in what order, using which sheet? The problems usually become obvious.
- Start with the most painful part. For example, order tracking, not the whole business.
- Import the existing data, so nobody has to retype anything.
- Run both side by side for a short time, then switch over.
- Improve in small steps, based on how people actually use it.
We work exactly this way, with a working demo at the end of each short sprint so you can try the system with real data long before it is finished (why we demo every sprint).
Keep your spreadsheets for what they are good at
Spreadsheets will always be great for quick calculations, one-off analysis and planning. The goal is not to ban them. It is to stop running the core of your business on a file that one wrong keystroke can break.
